Scan-to-Email (Echo) Performance Enhancements

Echo is a service that takes documents scanned using the Xerox DocuCentre (in the TLC) and WorkCentres (Nursing and Gear Up), digitizes them (PDF/Word/CSV/Text), and emails them as an attachment to a users inbox based on the SSO ID (MyGateway ID) that is entered at the printer’s console.  This service, developed about a year ago, has been notoriously unreliable and as a result has not been used.  Over the past month the TLC (Rick) has had the opportunity to look over the service and has made substantial performance improvements that we believe restores the promise that the service was originally developed to answer.

Currently, all Xerox Multifunction devices have two types of scan templates available:

Scan-to-Email (Echo)

Utilized when you select the following templates from the printer’s scan console: PDF_Image, PDF_Search, Word_Format, Rich_Text, Tab_Delimin, CSV_Format, and of course, Text Only. Sends digitized files to users email inbox as an attachment.

Scan-to-File (not Echo)

Uses templates beginning with a lowercase ‘s‘ such as sTLCpdf_img, sTLCpdf_srch, sCONpdf_img, sGUpdf_srch, etc.  Documents scanned using these template deposit their files in a server share that can be accessed by any PC on UMSL’s LAN.

Both services will remain available but it is hoped that faculty, staff, and students will start taking more advantage of Echo’s enhancements:

  • Increased reliability/speed of delivery (maybe an 80% improvement)
  • Send to any UMSL email by typing in recipient’s SSO ID
  • Ability to send to non-UMSL email addresses by typing in full email (e.g. Jane.Doe@gmail.com)

We are constantly attempting to improve performance and catch errors when they occur so please let us know if you have any problems or suggestions on how we might be able to improve this service.
